Privacy Policy
This policy explains what personal data Institute of Languages collects, why we collect it, and the choices you have. It applies to our website and to the data we collect when you enquire about or enrol in our courses.
Last updated: 21 June 2026
1. Data we collect
We collect information you give us directly, such as when you submit our consultation form, enrol in a course, or contact us by phone or email. This may include:
- Your name, email address and phone number
- Your preferred language of study and learning goals
- Billing and invoicing details, for paying students and corporate clients
- Records of correspondence with our coordinators and teachers
- Technical data such as IP address, browser type and pages visited, collected automatically via cookies (see our Cookie Policy)
2. How we use it
We use your data to respond to enquiries, schedule and deliver classes, process payments, send course-related updates, and improve our website and teaching programmes. We do not use your data to make automated decisions that produce legal or similarly significant effects.
3. Legal basis & the PDPO
As a Hong Kong organisation, we handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486). We collect only data that is necessary and adequate for the purposes described in this policy, and we give you the chance to opt out of marketing communications at any time.
4. Sharing & disclosure
We do not sell your personal data. We may share limited data with trusted service providers who help us run the school — for example, payment processors, email delivery services, and IT support — under confidentiality obligations. We may also disclose data where required by Hong Kong law or to protect the rights and safety of our students and staff.
5. Cookies
Our website uses cookies to remember your preferences and understand how visitors use the site. You can manage or withdraw consent at any time — full details are in our Cookie Policy.
6. Data retention
We keep enquiry data for up to 24 months if it doesn't lead to enrolment, and student records for the duration of study plus 7 years afterwards, in line with standard record-keeping practice. You may request earlier deletion subject to any legal obligations we must meet.
7. Security
We use reasonable technical and organisational measures — including access controls and encrypted storage for sensitive records — to protect your data against unauthorised access, loss or misuse. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
8. Your rights
Under the PDPO, you have the right to ask whether we hold your personal data, to request a copy of it, and to ask us to correct inaccurate data. To exercise these rights, contact us using the details below.
9. Children's data
For students under 18 enrolled in our Young Learners Programme, we collect data with the consent of a parent or guardian, who may also exercise the rights described above on the child's behalf.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. The "last updated" date at the top of this page shows when it was last revised.
